From nothing to running

12 steps, walked through once. It takes about half an hour, and after that the portal does the work. Everything is also in the help on its own, for when you want to look something up later.

Your own address and your first month

Signing up is three fields and a payment. After that you have your own address on yourname.ordly.nl, a password you chose yourself, and a portal waiting for you.

  1. On ordly.nl, enter your company name, your email address and the address you want. You see straight away whether it is still free.
  2. You land on your own address and choose a password there. A sentence works better than a word.
  3. Read the agreement about buyers’ data and tick the box; it comes up once.
  4. Pay your first month by iDEAL or card. That also gives a mandate, so you never have to think about it again.

Pasting your bol key

Without these two lines Ordly cannot fetch anything from bol. It is the only step you really have to do yourself; the rest follows from it.

  1. Sign in at partner.bol.com with your own account. We never sign in for you.
  2. Go to Instellingen → API-instellingen (Settings → API settings) and create a new key.
  3. You get a client ID and a client secret. You only see the secret once, so copy it straight away.
  4. Paste both on Aan de slag and press Opslaan en nakijken (Save and check). The portal then asks bol straight away whether they work.
How you know it workedA green line appears: “De koppeling werkt.” (The connection works.) If it says anything else, there is usually a space pasted before or after.

Entering your company details

These go on your invoices. An invoice without a VAT number or chamber of commerce number is not a valid invoice, and you only find out when a business buyer emails about it.

  1. On the same screen, enter your name, address, postcode, KvK, VAT number and IBAN.
  2. Under the Dutch small business scheme? Tick that box; we then charge no VAT and put the right sentence on the invoice.
How you know it workedOn Aan de slag the bar jumps forward and the step “Je bedrijfsgegevens” gets a tick. Nothing stays red.

Your logo and your colour

From here on it is your portal, not ours. Your buyer never sees the name Ordly.

  1. Go to Vorm en kleur (Look and colour) and drag your logo in (png or svg).
  2. Pick your house colour. We use it on your invoices and in your review emails.
  3. Pick one of the seven invoice layouts; you see straight away what your invoice will look like.
  4. Your logo then sits top left in the portal, with “Handelsportaal” underneath.
How you know it workedTop left on every screen is your logo instead of Ordly’s.

Putting the portal on your phone

Ordly is an ordinary website, but you can put it on your home screen as if it were an app. On an iPhone that is also required if you want notifications, an Apple rule.

  1. iPhone and iPad: open your portal in Safari (not Chrome, it does not work there), tap the share button at the bottom (the square with the arrow up), scroll to “Add to Home Screen” and tap Add.
  2. Android: open your portal in Chrome, tap the three dots top right and choose “Install app” or “Add to home screen”. Chrome often offers it by itself.
  3. After that, open the portal from that icon, not through the browser.
How you know it workedYou see your own logo as an icon on your home screen, and when you open it there is no address bar at the top.

Switching on notifications

A nudge on your phone the moment something sells, your buy box drops or a return is on its way. This is the part that means you do not have to keep looking all day.

  1. Go to Meldingen (Notifications) and press Zet meldingen aan (Turn on).
  2. Your browser asks for permission. Say yes; if you say no, the button is dead until you reverse it in your browser settings.
  3. Press Stuur een proefmelding (Send a test) and switch your screen off for a moment.
  4. Switch off what you do not want to be disturbed for. What you switch off is still in your morning email.
How you know it workedThe test notification appears on your screen within a few seconds, and your device is at the bottom of the list with “dit toestel” (this device) after it.

Seeing the first orders come in

From now on the portal does the work. Every hour it checks with bol; at night it fetches the whole list again. You never have to press anything.

  1. Wait an hour, or look the next morning.
  2. On Orders every order has its status next to it: done, invoice to bol, or waiting.
  3. You can search by name, order number or item. “de.vries” also finds “LOTTE DE VRIES”.
  4. Something sold while you are looking? A card slides in at the bottom right.
How you know it workedAt the top of the Overzicht (Overview) it says “opgehaald bij bol om …” with a time from today.

Switching on review emails

One tidy email per order, five days after delivery. Bol’s rules are built in and cannot be switched off; that is deliberate, because that is what bol judges you on.

  1. Go to Reviewmails and read the standard template.
  2. Change the greeting and the sign-off to your own words.
  3. Look at the preview on the right: that is what your buyer gets.
  4. Switch it on. They go out in the evening at 19:00.
How you know it workedOn the Overview it says “Reviewmails klaar” with a number, and that number goes up over the following days.

Entering cost prices

Only after this can the portal say what is left per item. Without a cost price we calculate nothing; a made-up margin is worse than no margin.

  1. Go to Artikelen (Items). Everything you have sold is already there.
  2. Click an item and enter your purchase price, with the date it applies from.
  3. Buy cheaper later? Just add a new line. Old orders keep calculating with the price that applied then.
  4. Under commissie enter your percentage per category; that saves entering it per item.
How you know it workedIn the “Blijft over” (Left over) column there is an amount instead of “vul in”, and on the Overview the Blijft over tile is no longer a dash.

Keeping an eye on your buy box

Every hour the portal checks whether you still have the buy box and who is undercutting you. Here the hour counts, so this is an alert and not an email.

  1. Nothing to switch on; this runs by itself.
  2. On Aandacht (Attention) you see what you have lost and what the lowest price is now.
  3. Want a nudge on your phone for it? Switch on “Je koopblok kwijt” under Meldingen.
How you know it workedOn Aandacht it says “voor het laatst gekeken om …” with a time from the past hour.

Your quarter to the accountant

At the end of the quarter you pull out everything your accountant needs in one go.

  1. Go to Boekhouding (Bookkeeping) and pick the quarter.
  2. Download UBL if your accounting software reads it (Jortt, Moneybird, e-Boekhouden), or csv if your accountant wants it in Excel.
  3. The VAT overview shows per rate what you owe. The return itself is yours, or your accountant’s; we only add up.
How you know it workedThe lines in the file come from the invoices as they were sent, not from your settings today. Change a price later and an old invoice does not change with it.

Bringing your old invoices along

Been selling on bol for a while? Then you can add your PDFs from before, so everything is in one place. Can wait; it is the only step that is not required.

  1. Go to Oude facturen (Old invoices) and drag your PDFs there, or one zip.
  2. We read the text and look for an order number that is yours.
  3. What we cannot place with certainty, we park with the reason. Enter the order number there yourself.
How you know it workedThe counter says how many were attached to an order. What is parked is not gone.
